Review, correct and return the listing so it is received by the Personnel Cabinet no later than the seventh working day of the month.
The following are examples of possible errors that may occur with the listing and how to correct them:
1. An employee is due an increment and is not on this list
Verify your exception employee in error by phone with the Personnel Cabinet and immediately submit a P-1 awarding the increment.
2. An employee is due the increment at this time but some part of the information listed is incorrect.
Telephone the Personnel Cabinet and confirm the error. If that employee's personnel action file is in error, indicate with an "X" at the end of that entry and submit a P-1 correcting the information and awarding the increment. (However, a minor difference such as in the designations of "Jr.", "Sr.", or "III" does not require a personnel action.)
3. An employee should not be on the listing.
Delete the employee by indicating with an "X" at the end of that entry and indicate under "Comments" the reason for deletion (Example: Resigned or Transferred).
4. An employee is due the increment but another personnel action for the same date is to take place.
Indicate with an "X" at the end of that entry on the listing and submit the appropriate P-1 including annual increment.
5. Options - indicated in the "opt" title on the rightmost side of the listing.
1 - indicates a probationary increment from an appointment (5%).
2 - indicates a regular annual increment.
3 - indicates a promotional increase added to the base salary (5%).
4 - indicates a promotional increase (5%) and an annual increment, both added to the base salary.
5 - indicates an annual increment for a non merit employee added to base salary.
6 - indicates an increment for a non merit employee added to base salary (1%).
7 - indicates a non merit initial 6 month employment status change only.
For fiscal year 2008/2009, employees will receive an annual increase of one percent (1%).
Initial apointment increments and promotional increases remain five percent (5%).
Option 7 creates an "M21" action for those non merit employees not having an annual increment date but have completed the initial 6 months.
Options 3, 4, and 6 may be changed to option 7 by indicating so on the listing if no increase is to be given the non merit employee. An "M21" action to change only the employment status will be generated.
NOTES:
- Hours Per Week (HPW) is shown on all hourly employees. A "1" indicates an employee working 37.5 hours per week and a "2" indicates 40.0 hours per week.
- If an employee is in a non-merit position, the "non-merit or prob" column will indicate "non".
- For each entry verify the correct grade and salary.
- Any entry the agency deletes from this listing with proper explanation means that the Personnel Cabinet will not produce a P-1 at this time.
- This listing will now show those who have a shift differential or weekend premium based on percentages and create the P-1 double coded with the (G41).
- Any information left unchanged on this listing is assumed to be verified by the agency as correct.
- The agency will receive its usual P-1 copies when processing is completed.
- The Personnel Cabinet will automatically establish a new increment date for each eligible employee unless this office is otherwise notified.
- If an employee is on probation due to an appointment, the "non-merit or prob" column will indicate "prob". If the employee is not to receive status and a 5% probationary increment, then indicate with an "X" at the end of that entry on the listing. Otherwise the employee will receive status and a 5% probationary increment and the turnaround P-1 you receive will be coded as a probationary increment (G11 or G12).
- This listing will also show employees who are to receive a 5% promotional increase. If the employee is not "X'ed" off the listing, the turnaround P-1 you receive will be coded as a promotional increase added to base salary (G21). If the employee is due an annual increment, it will be added on top of the promotional increase that was added to base salary.
- Re-employments coded with an employment status of J (Probation Due to Promotion) will appear as option 1.
