Instructions for Free Download and Installation of 32-Bit Client Software

Download:
  • Double-left click on the 32BitDEFormInit7.exe link  to begin the download process.
  • When you double-left click, a dialog box will appear.
  • It will ask if you want to RUN THIS PROGRAM FROM ITS CURRENT LOCATION or SAVE IT TO DISK
  • You want to SAVE IT TO DISK (meaning the C drive on your PC)
  • Make sure the black dot is in the circle next to SAVE IT TO DISK (if it is not, just left click the circle)
  • Then click OK
  • Next the SAVE AS dialog box is going to appear
  • The upper text box (just to the right of the words SAVE IN) probably has DESKTOP.
  • Right below this area is a large white box that lists everything on your DESKTOP
  • Locate MY COMPUTER in this box and double left-click on C: (this will then list everything in your C drive.
  • Once the SAVE IN text box reflects C:\ look down in the lower portion of the dialog box for the FILE NAME text box.
  • The file name 32BitDEFormInit7.exe should be listed in this text box.
  • Click OK
  • Once this file has downloaded, you will need to close out the download process by: (1) In Internet Explorer 4.0 the dialog box will say DOWNLOAD COMPLETE and you will click on OK; (2) In Internet Explorer 5.0 the dialog box will reflect file information and three buttons, click on CLOSE.

Installation:
  • To install/initialize your 32-bit client software (prep package), you must have all applications/programs closed.  This includes email and all mainframe applications.
  • Right click the START button.
  • Left-click on EXPLORE (this window displays all the files/applications/programs within your computer system).
  • When the EXPLORE window opens, on the left-hand side locate and double-click your C: drive.
  • On the right-hand side of your EXPLORE window, scroll down below the "yellow folders" until you see the list of files, scroll down until you find the 32BitDEFormInit7.exe file.  The icon will be a red box that resembles a gift box. (NOTE:  You may not see the extension EXE; it all depends on the setup of your PC)
  • Double left-click the 32BitDEFormInit7.exe file name and begin the installation/initialization process.
  • In this process it will automatically proceed through several levels, perhaps stopping occasionally and asking you how you wish to proceed.  The option buttons vary, but you would choose FINISH, CONTINUE, or NEXT.  Read the screens carefully and NEVER overwrite a file. 
  • Once the process is complete, a dialog may appear; asking you if you wish to restart your PC.  YES, you do want to restart the PC.
  • If you are not given the option to restart the PC and you return to the EXPLORE window, go ahead and properly shutdown the PC.
  • Once you have restarted your PC and you are back to the Desktop (and in some instances, your EXPLORE window will be open) you are ready to work with the electronic forms.

NOTE:  The initialization process may install a shortcut icon on your Desktop that is called E-forms Access Manager.  Ignore this icon and do you use it to attempt to access your forms.  You may delete the icon from your Desktop if you wish.

REMEMBER: This MUST BE installed on the C DRIVE of your local PC.

Recommended PC Setup for Use of E-Forms

E-forms CANNOT be used in Word or Excel (never open Word or Excel and then try to open a form or a FIL file).

More important things to remember:

  • When you are looking at the form on your monitor screen, you are actually looking at two files:  (1) the blank form (the EXE file); and, (2) the FIL file (think of it as a transparency covering the blank form that contains all the data fields and when you save the data file, the transparency peels off of the blank form and is filed away in a designated folder separate from the blank form file).
  • Think of the KFM Forms folder as a filing cabinet drawer.
  • Create the KFM Forms folder as described below to maintain your EXE files and to "file" these completed transparencies (FIL files) into the appropriate subfolders.
  • Place the EXE Files directly under the KFM Forms folder for quicker accessing.
  • You can create a subfolder for each type of form you will use and think of these as the file folders you would place in the filing cabinet drawer.

Following are recommendations on how to setup your PC files to better assist you in learning how these new forms actually operate.

OPENING EXPLORE:

  • Right-click on the START button.
  • Left-click on EXPLORE

*NOTE:  These folders can be placed on your C drive, D drive or your designated user folder on your local network.  The drive on which you place the KFM Forms folder would be determined by your agency's policies and procedures.  Just remember where you create this KFM Forms folder.

SETTING UP THE KFM FORMS FILE FOLDER:

  • In EXPLORE, on the left-hand side, double-left click on the appropriate drive (see *note above)
  • If you have a MY DOCUMENTS folder in this drive, place this KFM Forms folder within MY DOCUMENTS
  • Go to the top of the window and double left-click on FILE
  • Then slide down to NEW
  • Then slide over and in the drop-down menu double left-click on FOLDER
  • On the right-hand side of the window, you will see NEW FOLDER (if the text NEW FOLDER is highlighted, the text you type will automatically overwrite NEW FOLDER as you type)
  • Type in KFM Forms
  • Press ENTER

Your PC is now set up and ready for using electronic forms.

DOWNLOADING A FORM:
  • To begin the form download process, locate the form you want to download.
  • Double left-click on the file link (executable name) to the right (underlined and has the extension of .exe)
  • When you double left-click this link a gray box will appear
  • It is asking if you want to RUN THIS PROGRAM FROM ITS CURRENT LOCATION or SAVE IT TO DISK
  • You want to SAVE IT TO DISK (meaning your KYTC Forms folder)
  • Make sure the black dot is in the circle next to SAVE IT TO DISK (if it is not, just left click the circle)
  • Then click OK
  • Next your SAVE AS dialog box is going to appear
  • You will notice that in the upper text box just to the right of the words SAVE IN probably has DESKTOP
  • Right below this area is a large white box that lists everything on your DESKTOP
  • Locate MY COMPUTER in this box and double left-click (everything in MY COMPUTER will be listed in this box)
  • Then in this same box locate and double left-click on letter of the drive in which you created your KFM Forms folder
  • Locate and double left-click on the KFM Forms folder (it will be listed in alphabetical order)
  • When you double left-click on the KFM Forms folder the name KFMC Forms will be reflected in the top text box next to the text SAVE IN
  • Always make sure this KFMC Forms folder is in this text box each time you go to download a form
  • You will notice in the lower portion of this dialog box you will see a text box for FILE NAME
  • The .EXE file name of the form is listed in this box (DO NOT CHANGE THE NAME OF THE .EXE FILE NAME ASSIGNED TO THE FORM. IF YOU DO, THE FORM WILL NOT WORK. THE FILE NAME SHOULD MATCH THE EXE FILE NAME OF THE FORM AS IT IS LISTED ON THE WEB PAGE WITH ONE EXCEPTION IT MAY NOT REFLECT .EXE)
  • Click OK
  • This file may download in a matter of a few seconds or a few minutes depending on the number of pages in the form. It also depends on how fast your communication lines are and the speed of your PC. 
  • Once this file has downloaded, you will need to close out the download process
  • In Internet Explorer 4.0 the dialog box will just say DOWNLOAD COMPLETE and you will click OK
  • In Internet Explorer 5.0 the dialog box will give you file information and three buttons. Click on CLOSE

OPENING A FORM:

  • To open your forms, you access the KFM Forms folder
  • Double click the KFM Forms shortcut icon on your Desktop
  • In dealing with electronic forms, you have three different types of files and the three respective file extensions:
  • .EXE file: This executable file is actually your blank form. You always have a blank form in this file within your system.
  • .INI file: When you double left-click the form executable file name, it activates the "brain" of the form and this .INI file is created. There's no need to open this file, but it must remain in the directory with the form. If you ever move the executable file for some reason (especially if you switch PCs), you must double left-click the executable file name of the form to reset this .INI file so that the form and the FIL files will work properly.
  • .FIL file: This is your data file. When you look at the blank form (the executable file) on screen, you are actually looking at two files. The first being the .EXE file or the blank form and the second file is the FIL file or the data file. This FIL file is like a transparency laid over the .EXE file or blank form. When you fill in the data fields and click save it "peels" the data off the .EXE file or form and saves it as a FIL file. These FIL files only contain the data and the brains to find the appropriate form to open when the FIL file name is double clicked. If you do not save the .EXE file to your system or have not double clicked the .EXE file to activate it after a move of the .EXE file, the .FIL file will not open by double clicking the .FIL file name.
  • Now double left-click on the executable (.EXE) file name of the form you want to open
  • As the form opens, you will see an informational screen in regards to the form and then the form should open.

HOW TO SAVE YOUR DATA:
  • When the form opens, tab through the data fields and complete the form
  • Click on the SAVE button at the top left-hand side of your form
  • When the SAVE AS dialog box opens, it should be pointed to your KFM Forms Folder (in the top text box next to SAVE IN it will have KFM Forms) If not, scroll through the directory listing until you locate and double left-click on KFM Forms.
  • Once you have KFM Forms in the SAVE IN text box
  • You want to change this to the appropriate FIL File folder
  • Double left-click in the appropriate FIL File folder in the large text box directly below the text line Save In
  • Double clicking this file folder it will put the FIL File folder in the text box next to Save In
  • (NOTE: Think of the file folders for your FIL files (data files) as file folders in a filing cabinet drawer. You may have as many FIL file folders as you wish as long as they are not named the same.
  • Under the large box that reflects all of the files within the open folder, you will see FILE NAME
  • The default name for FILE NAME is untitled.fil
  • You may name this FIL (data) file whatever you wish, just don't use anything other than FIL for the extension of these data files. Actually it is not necessary to add .FIL to the end of your file name because that is your default.
  • Name the file and click SAVE.
  • Click on the CLEAR button and you are ready to complete another form.

RETRIEVING SAVED DATA:

  • There are two ways to retrieve saved data: 1) from the open form; and 2) from the KFM Forms folder.
  • From the open blank form:
  • Go to the top of the form, to the top task bar and double left-click on FILE (upper left-hand corner)
  • Slide down and double left-click on OPEN
  • A dialog box will appear
  • Make sure the proper FIL file folder is open
  • Locate the FIL file you wish to open and double left-click
  • Your form will open and the data will populate the form
  • From the KFM Forms folder:
  • Double left-click on the KFM Forms Folder shortcut icon on the DESKTOP
  • Double left-click the appropriate FIL file folder
  • All files within this FIL file folder will be displayed
  • Locate the FIL file you wish to open and double left-click on the FIL file name
  • Your form will open and the data will populate the form
